This intranet solution has been successfully deployed across numerous organizations within Quebec's public sector. In healthcare, it serves major integrated health and social services centers (CISSS) like those in Montérégie (Centre, East, and West) and Montreal (Centre-South, Centre-West, North, West, and East), as well as northern health centers such as Inuulitsivik and Tulattavik in Ungava. The platform also supports key provincial ministries, including the Ministry of Finance and the Ministry of Immigration, Francization, and Integration (MIFI). These institutions, representing thousands of employees, leverage the intranet to centralize internal communications and streamline the management of critical organizational information.
Project
The core mandate was to design, develop, and deploy organizational intranets, with a primary focus on Quebec's public health sector. The implemented TYPO3 solution delivers a comprehensive digital ecosystem that centralizes internal communications within the different organisations. These intranets feature a customizable dashboard, a categorized news system, an indexed document repository, a filterable event calendar, and a powerful Solr search engine with faceted search capabilities. The modular architecture facilitates the seamless addition of functionalities like dynamic forms, an employee directory, and Active Directory integration, all underpinned by a maintenance plan ensuring security and flexible evolution.
Challenges
The development and deployment of these organizational intranets involved navigating several significant complexities. Adapting to the varied technological landscapes within the Quebec public sector and ensuring seamless integration with existing systems, such as Active Directory, posed considerable hurdles. Effectively managing the large volume of documents and designing an intuitive information architecture required meticulous planning. The inclusion of multilingual support, particularly the technical adaptations necessary for the unique syllabic writing of Inuktitut, added another layer of complexity. Furthermore, the scale of user training and change management in organizations with thousands of employees demanded a strategic approach. Finally, adhering to rigorous security and accessibility standards was paramount throughout the project.
Approach
To effectively address these organizational intranet mandates, a highly collaborative and iterative approach was adopted, based on an Agile methodology with two-week sprints. The process began with strategic design and co-creation workshops to ensure a shared vision and understanding of requirements. The information architecture was collaboratively developed through exercises like card sorting. To facilitate rapid adoption, a dedicated team of specialists was integrated within the client organization. Governance was established using mixed teams, supported by transparent decision-making processes and comprehensive follow-up mechanisms for the continuous enhancement of the platform.
